Obtaining 247,000 PLN in funding for software for a wholesaler
We wrote a grant application for the digitalization of sales processes. The project passed on the first deadline without any substantive corrections.
Hurt-Detal Mazur was wasting time manually rewriting orders from paper to Excel. We helped them secure 247,340 PLN from EU funds for a modern ERP system. Now the company operates faster, and shipping errors have practically disappeared.
The challenge
The owner, Mr. Marek, employed 14 drivers and 3 people in the office, who were drowning in stacks of paper invoices. Due to manual input errors of product codes, the company was losing an average of 8,420 PLN per month on returns and complaints. The old system from 2012 jammed every time someone tried to generate a monthly report.
Simply put, the company was standing still because no one dared to invest their own cash in expensive IT. The database already weighed 4.3 GB, which made searching for one customer take over 12 seconds. Employees were losing their nerves, and customers were leaving for larger competitors.
Our approach
We started with an audit of the processes in their office near Łódź in October 2023. Our team analyzed the last 12 financial months to find gaps that qualify for the digitalization program. We count every penny, so we immediately rejected unnecessary gadgets, focusing on hard tools for warehouse management.
We prepared a funding application that had exactly 94 pages of technical and economic arguments. According to the letter of the law, we showed that without this grant, the company would not maintain its growth rate in the region. We handled all the bureaucracy, from ZUS certificates to financial forecasts for the next 3 years.
The solution
We implemented a system that automatically sends orders from drivers' tablets straight to the warehouse. Instead of paper delivery notes, every employee now uses a terminal with a code reader. Horyzont Finansowy ensured that every penny from the grant was spent on equipment with specific parameters, such as a server with a 3.4 GHz capacity.
The entire operation was closed within a budget of 291,180 PLN gross, most of which was covered by non-refundable funds. We trained 17 people in the operation of the new interface so that the transition to the new technology was as painless as possible for a crew accustomed to paper.
Results
The wholesaler regained operational liquidity, and the owner has a preview of stock levels in 4 seconds on his phone.
